Technical Support - Microsoft Outlook 2000 Email Setup
By default access to RYA Online's e-mail accounts is via the webmail service through your web browser. You can however access your RYA Online e-mail account via a POP3 mail client.
Please Note that if you use a POP3 mail client to access your RYA Online e-mail account, you will only be able to send e-mail when you dial in to RYA Online's system direct. Due to the need for anti-spam rules (to stop unsolicited e-mail being relayed off our server) the RYA Online mail server will only accept e-mail for sending that comes from a valid IP address on the RYA Online system.
We do not supply and so therefore can not support Microsoft Outlook software,
however we have compiled the following instructions to help you configure Microsoft
Outlook to access your RYA Online e-mail account.

How to configure Outlook 2000 to check your RYA-Online e-mail
Outlook 2000 is an e-mail application, usually included with Microsoft Office
2000. You can configure Outlook 2000 to check as many e-mail addresses as you
like.
Start Outlook 2000.
You need to check which mode Outlook 2000 is running in. Select the Help menu
and choose About Microsoft Outlook.
If Outlook is running in Internet Only Mode, follow the instructions below.

Choose Accounts from the Tools menu.
The Internet Accounts window will open.
Click the Mail tab. This will show you any e-mail accounts
that are currently set up in Outlook 2000.

Click the Add button. A menu will pop up: choose Mail.
In the Display Name box, type your name as you want it
to appear in e-mails: Joe Bloggs. Click Next.

In the E-mail address box, type your Mistral e-mail address,
bloggs@rya-online.net. Click Next.

The E-Mail Server Names screen will appear.
Enter the following information:

Click Next.

In the Account name box, type your Mistral username: bloggs.
In the Password box, type your Mistral password: password.
Tick Remember password and click Next.

The Internet Connection Wizard window will
appear.

If you connect to mistral through your modem, click the Connect using
my phone line button.
If you are connecting to a mail server other than Mistral via your office
network (LAN), click the Connect using my local area network (LAN) radio
button. Note: You cannot use Mistral´s mail server (post.rya-online.net)
for outgoing mail if you are connecting in this fashion. Talk to your local
network administrator for an outgoing mail server you can use on your LAN.
If you wish to connect to Mistral manually before you open Outlook 2000, choose
the I will establish my Internet connection manually radio
button.
Click Next. The Congratulations screen will
appear.

Click Finish.
If you want to add another e-mail account to Outlook 2000, repeat the
above procedure. If not, click Close.
How to control sending and receiving e-mail from individual mailboxes
When you set up an e-mail address in Outlook 2000, you can select whether
to look for new messages for that mailbox when you click the Send and
Receive button. You can configure Outlook 2000 to check as many e-mail
addresses as you like.
Choose Accounts from the Tools menu.
The Internet Accounts window will open.
Click the Mail tab. This will show you any e-mail accounts
that are currently set up in Outlook 2000.
Click the account (mailbox) you want to configure from the window that
pops up.
Click the Properties button.
Uncheck the Include this account when doing a full Send and Receive box.

Click OK.
Click the Close button.Outlook will no longer check that
mailbox when the Send and Receive button is pressed.
To check a particular mailbox for new messages
If a mailbox is not checked automatically by the Send and Receive button,
choose Send and Receive from the Tools menu
and select the account you wish to check from the menu that pops up. Outlook
will check that mailbox for new messages.
How to send a message from a particular mailbox
Unless you choose which mailbox to use when sending a message, Outlook 2000
will send it using the default account (mailbox). To send using a different
account (mailbox) choose Send Message Using from the File menu
and choose the account (mailbox) you wish to use from the menu that pops
up. This option is only available from the New Message window, or if you
are replying to or forwarding a message.
How to Configure Outlook 2000 to leave mail
on the server
When you retrieve your e-mail, Outlook 2000 copies each message from Mistral´s
servers to your hard drive. By default, Outlook 2000 is configured to have
all e-mail messages deleted from Mistral´s mail server after being downloaded
to your computer. However, you can configure Outlook 2000 to leave your e-mail
on the server. Outlook 2000 then keeps track of which messages it has already
retrieved. This feature will allow you to check your e-mail from work, while
leaving it on the server for later retrieval at home. Outlook 2000 also allows
you to select a time duration for leaving mail on the server. Setting a duration
is important if you have all of your e-mail clients configured to leave mail
on server.
To configure Outlook Express to leave mail on the server
Choose Accounts from the Tools menu.
The Internet Accounts window will open.
Click the Mail tab. This will show you any e-mail accounts
that are currently set up in Outlook 2000.
Click the account (mailbox) you want to configure from the window that
pops up.
Click the Properties button.
Select the Advanced tab.
Check the box for Leave a copy of messages on server.
It is recommended to check the box for Remove from server after 5 day(s) box.
You can increase or decrease the amount of days your mail is left on the
server. If you have Outlook 2000 set to remove mail from the server after
5 days and do not check mail for 14 days, the mail will stay on the server
until you download it to your hard drive.

Outlook 2000 is now configured to leave mail on the server.
